PDF REDACTION GUIDES

How to check a redacted PDF before sending it

Check visible masks, searchable text, attachments and the filename in your saved PDF. Use a practical checklist and a redacted practice file.

For the final sharing copy, whether you made it with RedactPDFKit or another PDF editor.

Before you start

  • The downloaded or saved output, not just its preview.
  • The exact words, numbers and marks intended for removal.
  • A PDF viewer with search and document-properties controls.

Try 10 pages with Google sign-in, or compare the monthly plans.

Start with the saved output

Open the file you intend to send. Check the filename and page count, then visit the first and last pages. It is easy to inspect a redacted preview and accidentally attach the original afterward.

Keep the original and sharing copy in different folders, or use a clear suffix such as -redacted. A small or large file size does not tell you whether content was removed.

Inspect pixels and text separately

Zoom in on each mask. Look for letter edges, digits, pen strokes and logos that extend past it. Check that nearby words, dimensions and amounts still look right.

Search for the exact removed terms and known variants. Try selecting and copying around a mask into a plain-text editor. If the hidden term appears, return to the source workflow and fix the export. If no text can be selected anywhere, you may have an image-based file; an empty search is not a successful visual check.

Still finding words underneath a box? Check the difference between an annotation and redaction.

Check what sits outside the visible page

For an output from a PDF editor, inspect document properties, comments, attachments, bookmarks and form fields. These can contain information beyond the page view. Use the editor’s removal or sanitization controls where applicable, then save and check again.

RedactPDFKit constructs a fresh PDF from covered page images. It does not carry over the original text layer, attachments, form fields or PDF metadata. The filename remains a separate consideration: rename a downloaded file if its name identifies a client or supplier.

Understand what the automatic output check covers

RedactPDFKit runs OCR on the rendered output and looks for selected target text. A detected residual blocks that download until it is resolved. A recognition error is a failed check, not a clean result.

This is not a scan for every possible identifier. Unknown names, handwriting and logos may still require visual review. A passed check also does not verify that a nearby dimension or amount was preserved correctly.

Resolve the result before sending

If a term remains visible, add or adjust its mask. If useful text was covered, restore the relevant selection and use a smaller manual area. Then generate and check a new export; an earlier check does not describe a file with changed masks.

For a signature or logo, inspect the entire boundary manually. For repeated text, check all pages. Send only the checked sharing copy, and keep a record of the remove/keep rules when the same job will recur.

The same name appears on several pages? Review the matching list and its variants.

Common questions

Does an empty search prove the PDF is redacted?

No. A scan may never have contained searchable text. Check the page images and other document contents as well.

Does flattening always remove hidden information?

The word flatten can mean different operations in different editors. Inspect the actual output; do not rely on the command name alone.

Can a passed check guarantee anonymity?

No. The check covers selected text and can miss content. Context, images and unlisted details still need review.
